We are looking for a CEO Assistant for one of our clients, an international company in the FMCG industry.
JOB SUMMARY:
• Responsible to provide varied complex and often confidential liaison, communication and administrative assistance to the CEO and designees; assists the CEO in maintaining effective and positive work relationships.
Responsibilities:
• Manages the creation, development, distribution and proper notice for BoD meetings agendas and assigned preparation of materials; prepares concise drafts of BoD meeting minutes
• Screens visitors telephone calls, meetings, emails and faxes, providing information and resolving complaints which require the use of good judgment and the interpretation of Company’s policies and procedures
• Organizes meetings by notifying participants, making room arrangements, preparing agendas; may attend such meetings preparing minutes or report to the CEO the outcome
• Makes appointments and maintains the CEO’s calendar, schedules and arranges for meetings and travel arrangements; sorts mails and obtains related back up materials
• Assists CEO and Partners with preparation of presentation materials
• Prioritizes and manages various projects simultaneously and follows through on issues in a timely manner
• Interacts with both internal and external executives and assistants (internal management as well) as well as consultants to coordinate a variety of meetings, projects etc
• Researches and analyzes routine administrative projects for the CEO and Partners; prepares first draft reports on administrative matters
• Receives and initiates extensive, regular outside contacts on behalf of the executive, with executives and boards of directors of other companies, elected representatives and customers
• Analyzes data trends and advises CEO and Partners of significant changes or discrepancies (e.g. budget)
• Plans, organizes and coordinates the administrative aspects of the Executive’s office functions
• Performs any other reasonable task required by Management
Cerinte • University degree and a minimum of 5 years experience in similar position (preferably as CEO/GM Assistant)
• Excellent English and communication skills (written and spoken)
• Computer application related to the work, business correspondence formatting, basic mathematical computations, accounting and record keeping
• Outstanding Customer Satisfaction skills, including dealing effectively with the public and staff, both in person and on the telephone
• Planning and organizing skills, analytical thinking, meeting deadlines and following up with a minimum of direction
• Excellent calendar management skills, proven attention to detail, team player, results oriented person, strong interpersonal skills
